Terms of Service
The terms on which training providers and their staff may use the Zandtbox Digital Registers platform.

1. Agreement
These terms govern use of Zandtbox Digital Registers, operated by Zandtbox (Pty) Ltd. By creating or using an account you agree to them. If you use the platform on behalf of an organisation, you confirm you are authorised to bind that organisation.
2. The service
The platform lets training providers create attendance registers, capture learner signatures (including by QR code), manage workplace placements and generate audit-ready records. Features may change over time.
3. Accounts and security
- Keep your login credentials confidential and do not share accounts.
- You are responsible for activity under your account.
- Notify us promptly of any suspected unauthorised access.
4. Your responsibilities as responsible party
As the responsible party for your learners' information, you are responsible for having a lawful basis to collect it, for giving learners the collection notice, for the accuracy of what you enter, and for setting appropriate retention periods. Zandtbox acts as your operator under a written processing arrangement.
5. Acceptable use
- Do not use the platform unlawfully or to process information you are not entitled to.
- Do not attempt to breach security, access other organisations' data, or disrupt the service.
- Do not upload malicious code or misuse learner information.
6. Data and intellectual property
You retain ownership of the data you enter. You grant Zandtbox the limited rights needed to host and process it to provide the service. The platform software and branding remain Zandtbox's property.
7. Availability
We aim for high availability but do not guarantee uninterrupted service. Maintenance, updates or factors beyond our control may cause downtime.
8. Liability
To the extent permitted by law, the platform is provided “as is” and Zandtbox is not liable for indirect or consequential loss. Nothing in these terms limits liability that cannot lawfully be limited.
9. Termination
Either party may end use of the platform in accordance with the applicable service agreement. On termination, data is returned or securely deleted as agreed and as the law requires.
